Providing and servicing a Registered Office for the Management Company.
Daily accounting of income and expenditure
Maintenance of a bank account including provision for a sinking/reserve fund.
Attendance at Directors meetings at the following annual frequency
o Up to 10 flats = 1
o 11-20 flats = 2
o 21-30 flats = 3
o 31-40 flats = 4
o Additional meetings incur a charge of £75 per hour during office hours and £150 per hour outside of office hours
Distribute meeting agendas
Calling and arranging shareholders Annual general meeting in a timely manner
Recording and distribution of minutes
Regular reporting
Collection of service charges and ground rent
Prompt action in respect of arrears
Prompt action in respect of lease compliance
Arrange the insurance of the buildings and receive introducer commission (if any)
Arrange Directors and Officers indemnity insurance
Act upon shareholder instructions related to maintenance items and settlement of invoices.
The supervision of all maintenance at the block including cleaning of communal areas and windows, gardening, general repairs
Service of section 20 notices as necessary (5-10% according to complexity)
Arrange the preparation of annual accounts (at the prevailing rate) and timely submission at Companies House
External legal advice on a retained basis would be recommended to all our clients to ensure that sale/purchase formalities are properly completed. This service also includes the cost of general advice and routine letters. The prevailing rate for this is £25 & VAT per flat per annum.

Diane at Intercity Accomodation was so helpful! Quickly responded to my complaints and cleared up a misunderstanding. Very accomodating as I couldn't view the property due to being a student moving long distance and having complications due to the Covid pandemic. I was really keen to move in to a property in Grange Court with this company. Viewing was very professionally conducted by Noah, even under the strain of COVID-19 regulations. John was also very professional and polite at the viewing and very encouraging about our application. We started our applications certain that this was a good company that cared about both their landlords and their tenants.
Unfortunately we had nothing but problems after this. Forms were sent incorrectly on multiple occasions. Not once, but FOUR TIMES confidential information, including dates of birth, home address, employment details and even bank details were sent to people in error. Both through CCing in the wrong people to emails giving them access to my details, and sending me other people's filled in forms.
Four times! I have had to cancel my bank card and take other steps to protect my account due to this. When I told Intercity that they had made this mistake, they did not apologise and said this hadn't happened, even though I had the emails in hand showing they had done it in black and white. They even greeted me as "Hi [Incorrectly CC'd Person's Name]" when they picked up the phone, and still would not admit it.
It became clear that Intercity had not made their existing tenants aware of the breach days after the fact, denying their existing tenants the opportunity to protect themselves by cancelling cards or changing phone numbers etc. Information requested of guarantors was also extremely invasive and unsafe, with multiple PCI standard violations. I have been renting in Leeds for close to decade through multiple agencies, and I was absolutely shocked by the conduct of Intercity.
I would urge both renters and landlords to steer well clear of this agency. Edited to add: Intercity have bizarrely now apologized to my co-tenant but not me, acknowledging only one of the problems. It seems that these mistakes were caused primarily by confusion and lack of cohesive protocol during the switchover to online applications during the COVID shutdown.
I am sorry they are struggling and appreciate it must be a very difficult role under the circumstances, but their response is still inadequate and I would still not recommend them. Regarding their requests for guarantors, asking for full card details including CVV in one unencrypted form is obviously unsafe and shows a lack of regard for client security. Intercity insisted a third-party company is responsible for this and they have no power over it, but choosing to use a company who are so obviously unethical is extremely troubling.

I rented a flat from Intercity for roughly 18 months and had a very good experience. John and the team are very friendly and always happy to help. Any maintenance issues were resolved promptly and all communication was very responsive both by phone and email. Security deposit was returned quickly and in full at the end of my tenancy. Would definitely recommend Intercity.

This company is disgusting please be careful when you rent a property from them, they go in your property when your not in and them try to give you some poor excuses why they do it, try to charge you for things thats damaged in the property from before you even moved in and wear and tear. Then they give you permission to end your tenancy early charge you for the rest of the term and tells council tax your still in the property when you've left and they had another tenant in the house. They get you that way because they have the tenancy that they can show to council tax to say you are the occupier. They are unbelievable.

Take lots of pictures and be prepared to get legal advice. I don't normally give bad ratings but wanted to warn others as i'm not the only one i know who has had a bad experience with intercity. They were lovely when we moved in but once we were in their accommodation with the black mould, the leaking boiler they refused to repair and charged us for, the dodgy electric (small electrical fire) and the garden we sorted it was a different story.
They were willing to put my children in danger to make money and gave me a bad reference based on misinformation. When we were packing up they brought people round without giving 24 hours notice. They refused to return the deposit until the garden was up to their standards. It was a bramble patch when we moved in. I spent so much time making it ok for the kids to play in.
They came and took pics one summer when it was nice and expected it to look like that when we moved out, claiming that's how it was when we moved in. I'm sure there's more but i'm writing this on my phone so it's difficult to type.
